At Guild we are a remote administrative support service for small business owners and independent professionals throughout the UK. This Virtual Assistant position is at the heart of how our clients stay on top of their work — managing schedules, correspondence, records and the kind of day-to-day tasks that quietly determine whether a business runs smoothly or falls behind.
The work is practical, varied and very useful. If you derive real satisfaction from imposing structure on a cluttered inbox or a messy set of notes to make them clear and usable you’ll fit well here. It’s never the same two weeks in a row, but the meat of the role is always the same – organised, dependable support for people that need it.
Guild works with solicitors, financial advisers and independent coaches. That means you are held to a high standard for written communication and discretion with clients. If those expectations work for you, this is a great place to build a remote admin career.
Job Responsibilities
- Manage client calendars, schedule appointments, including across time zones if needed
- Prepare, edit and send professional correspondence and emails on behalf of clients
- Maintain digital filing systems with Google Drive and Notion
- Enter data and update CRM records and flag any discrepancies you see
- Screen client inboxes – separate the urgent, cut out the noise and keep the momentum going
- Transform raw notes or meeting recordings into short, actionable summaries or short reports
- Research and book travel or accommodation within agreed budgets for clients.
- Support social media scheduling tools like Buffer or Later
- Work with third-party suppliers on simple, routine issues
- Keep track of tasks and report progress without being chased
Job Benefits:
- £22,000 - £26,000 per annum, paid monthly
- Fully remote from day 1 – no office attendance, no commute
- Core hours 9am-5pm GMT, with some flexibility around personal commitments by arrangement

- Equipment stipend for new hires who need peripherals to set up their workspace.

Requirements
- comfortable working remotely and independently – you don’t require close supervision to be productive
- Good written English — you can write a clear, professional email without having to check it every time
- Confident with Google Workspace: Docs, Sheets, Calendar, and Gmail
- Experience with a task or project management tool such as Trello, Asana, Notion or similar is a definite plus
- A good broadband connection and a quiet dedicated workspace during working hours.
- Naturally organised. This is a habit - not something you do when asked.
- Be able to treat sensitive client information with care, confidentiality is a strict requirement at Guild.
- Excellent at juggling multiple clients or workstreams and managing your time
- Previous experience in administration, reception and customer facing work, including part-time, is welcome;
- Knowing how small businesses work will help you get up to speed more quickly
