Job Description
Guild needs a Construction Virtual Assistant to help with construction projects. This person will make sure all the documents are in order. The administration is managed properly. The person we choose will help project managers keep track of project records and organize files. They will also make sure construction documents are up to date, throughout the project. Guild is looking for someone to support project managers with Construction Virtual Assistant tasks.
This job is fully remote. It is perfect for people who have experience, in coordinating projects controlling documents or administering construction.

Key Responsibilities
- Maintain digital project files and organize construction documentation.
- Prepare contracts, reports, invoices, permits and project files.
- Update project documentation as information becomes available.
- Track project milestones and help with progress reporting.
- Keep track of document versions in order to ensure file correctness.
- Liaise with contractors, suppliers and clients regarding documentation requirements.
- Follow up on approvals, signatures and document submission that are pending.
- Assist project managers with administrative tasks.
- Use the company documentation standards.
- Safeguard project confidential information.
Candidate Specification
Applicants must have:
- Good organizational and record-keeping skills
- Great attention to detail.
- Good written and verbal English.
- Work from home, independent work.
- Ability to multi-task with confidence.
- Fundamental knowledge of construction project documentation.
Knowledge of Software
Applicants should have knowledge of:
- Microsoft Word
- Microsoft. Excel.
- PowerPoint®
- Google Docs
- Google sheet
- Google Documents
Experience with Procore, Buildertrend, PlanGrid or other construction management software preferred.
Experience
1-3 years of experience in administrative support, project coordination or document management.
Previous experience in construction, engineering, architecture or infrastructure projects desirable.
Experience in a remote administrative role would be an added advantage.
Hours of Work
We have both full time and part time positions available.
Work hours are flexible and depend on the project needs.
Telework with participation in virtual meetings when required.
